FLEE LEARN
A fair decision guide for choosing a spreadsheet, dedicated software, or a staged transition as your reseller workflow grows.
Flee Market Editorial
A spreadsheet can be the right answer
For a small catalog and a single operator, a well-designed spreadsheet can be inexpensive, transparent, and flexible. You can see formulas, export the data, and adjust the structure to your process.
The question is not whether spreadsheets are bad. It is whether the maintenance burden and error risk still fit the business.
Where spreadsheets work well
small item counts
simple one-unit purchases and sales
one person editing
stable formulas
disciplined data entry
limited need for history or automation
Where friction appears
As quantity and workflow complexity grow, a spreadsheet often asks one row to represent purchase, current state, sale, return, and correction. Overwriting cells can erase history. Concurrent edits can create ambiguity. Formulas drift. Inventory and profit files can disagree.
These are process risks, not moral failures. A reseller can reduce them with clear IDs, protected formulas, validation, backups, and a documented update routine.
What dedicated software should earn
Software should do more than put a prettier grid around the same work. It should protect quantity invariants, connect lifecycle events to profit, preserve meaningful history, enforce ownership, support reliable filtering, and reduce repeated maintenance.
Software also introduces tradeoffs: subscription cost, learning time, migration work, and dependence on the product's feature boundaries.
A practical transition rule
Stay with a spreadsheet while you can answer these questions quickly and reliably:
What is available right now?
What did every available unit cost?
Where is each item?
What sold, returned, or was lost?
Does profit reconcile with those events?
Consider software when repeated reconciliation, history, partial quantities, returns, or workflow fragmentation consume more time and confidence than the transition costs.
